Assistant Contracts Manager

Purpose & Objectives

The Assistant Contracts Manager supports the Contracts Manager in the planning, coordination, execution and successful delivery of construction projects. The role is responsible for assisting with project administration, programme management, health and safety compliance, cost control, stakeholder communication and quality assurance. The Assistant Contracts Manager will develop the knowledge and experience required to manage projects independently whilst ensuring projects are delivered safely, on time, within budget and to the required quality standards.

Key Responsibilities

Project Planning

  • Assist in the development of project programmes, methodologies, logistics, scaffold schedules, etc.
  • Support the coordination of site set up in line with prelim docs.
  • Assist in defining project scope, objectives and deliverables with the project team.
  • Help maintain project programmes, Information release schedules, procurement and CDP trackers.
  • Support the implementation of site logistic plans and Construction Phase Plans.
  • Assist in Identifying and allocating resources required for project completion.

Project Delivery & Coordination

  • Support Contracts Managers, Site managers and Quantity Surveyors in delivering projects successfully.
  • Coordinate project activities to ensure project milestones are deadlines are achieved.
  • Monitor project progress against programme and report any delays, risks or issues.
  • Ensure project records and documentation are maintained accurately and in accordance with company procedures.
  • Take responsibility for smaller projects or work packages under supervision.

Stakeholder Management

  • Attend client, subcontractor, design team and project progress meetings.
  • Record minutes and distribute accordingly.
  • Help resolve routine site and project related issues.
  • Maintain positive relationships with clients, consultants, subcontractors and members of the public. 

Risk Management

  • Assist in identifying project risks.
  • Support the implementation of mitigation measures.
  • Assist with delay analysis and project reporting where required. 

Health & Safety

  • Promote a positive H&S culture across projects.
  • Assist in maintaining compliance with company procedures and statutory regulations.
  • Assist in ensuring compliance with CDM 2015 regulations.
  • Monitor temporary works procedures and site safety requirements.
  • Follow up on actions arising from safety inspections and audits. 

Quality Assurance

  • Support the implementation of quality management procedures.
  • Carry out quality inspections and site reviews.
  • Monitor workmanship and compliance with drawings and specifications.
  • Assist in managing subcontractor performance and workmanship standards.
  • Promote continuous improvement and best practice across projects. 

Budget and Cost Management

  • Assist with project valuations.
  • Support cost forecasting and financial reporting activities.
  • Assist in identifying opportunities for cost savings and efficiency improvements.

Communication and Reporting

  • Prepare project reports and meeting minutes.
  • Attend and contribute to project meetings.
  • Maintain project records including drawings, certificates, reports and correspondence.
  • Ensure project documentation is current, accurate and stored in line with company procedures.
  • Continually keep a photographic record of works on site and upload to the project photo stream on a regular basis.

Team Management & Leadership

  • Work collaboratively with the project teams across multiple projects.
  • Support site teams in achieving project objectives.
  • Demonstrate company values and maintain professional standards.
  • Proactively seek development opportunities and training.
  • Support mentoring and knowledge sharing across the business. 

Project Closure

  • Help with compiling, distribution and monitoring of snagging lists.
  • Coordinate subcontractor closing out activities.
  • Assist in preparation completion of O&M manuals.
  • Assist in managing defects during the defect liability period.
  • Support project reviews and lesson learned exercises.
  • Coordinate the quick completion of any post-handover snags.
  • Ensure project documentation is completed and archived correctly.

Qualifications

Essential

  • Suitable Industry Experience
  • SMSTS
  • Driving Licence

Desirable

  • CIOB, RICS or equivalent professional membership (or working towards).
  • Temporary Works Co-ordinator
  • First aid at Work

Skills & Experience

Experience:

  • Minimum 2 – 4 years’ experience within construction, project management, site management or contract administration.
  • Experience working within the construction industry.
  • Understanding Health and Safety legislation and site practices.
  • Exposure to project planning, procurement and contract administration.


Skills:

  • Good organisational and planning skills.
  • Strong communication and interpersonal skills.
  • Ability to work independently and within project teams.
  • Competent in project management software (MS Project, Microsoft Office products) and construction management tools.
  • Good understanding of construction methods and sequencing.
  • Commercial awareness and understanding of project costs.
  • Ability to manage multiple tasks and priorities.
  • Knowledge of JCT contracts

  • Maintain compliance with Health & Safety regulations procedures and ensure timely closure of allocated actions.
  • Ensure project documentation, reports, trackers and records are accurate, complete and submitted on time.
  • Develop and maintain positive relationship with clients, subcontractors and project team, contributing to high levels of stakeholder satisfaction.

Working Conditions

  • The role involves working on site as well as in the office environment.
  • Frequent travel to project sites and stakeholder meetings.
  • Occasional requirements to work additional hours to meet project deadlines.
  • Working across multiple concurrent projects under the guidance of a Contracts Manager.
